Individual Giving Manager
PRIMARY FUNCTION: The Individual Giving Manager is responsible for growing philanthropic support for the Boys & Girls Club of Dayton (BGCD) through cultivating, soliciting, and stewarding individual donors, alumni, and planned giving prospects. This position builds relationships across all stages of giving—from annual and mid-level donors to legacy and alumni supporters—ensuring a seamless and personalized donor experience. The Manager will also support grant efforts and coordinate closely with the Director of Resource Development and CEO to advance the Club’s mission and long-term sustainability.
ESSENTIAL JOB RESPONSIBILITIES:
Individual Giving
- Develop and manage a portfolio of individual donors, with a focus on annual, mid-level, and leadership giving.
- Implement an annual giving strategy that includes personalized outreach, donor retention, upgrades, and reactivation efforts.
- Lead individual donor campaigns, including year-end appeals, special initiatives, and recurring giving programs.
- Collaborate with the Marketing & Engagement Manager to develop donor-centered materials, appeals, and digital content.
- Identify and cultivate new donor prospects through events, referrals, and community engagement.
- Track donor activity, giving trends, and moves management progress using BGCD’s CRM (MyClubHub).
- Collaborate with the CEO, Director of Resource Development, and Board Resource Development Committee to identify and cultivate individual and alumni prospects.
- Analyze and segment BGCD’s donor database to inform cultivation strategies, and coordinate relationship-building efforts among Board and Resource Development Committee members.

Planned Giving
- Develop and grow BGCD’s planned giving program to include bequests, estate gifts, and donor-advised fund opportunities.
- In collaboration with the Marketing & Engagement Manager, create educational and marketing materials to promote planned giving options among supporters and alumni.
- Collaborate with the CEO and Director of Resource Development to engage donors and advisors in legacy conversations.
- Coordinate recognition and stewardship for planned giving donors, ensuring timely follow-up and ongoing communication.
- Maintain accurate documentation of planned giving commitments and ensure confidentiality of donor records.
Alumni Engagement
- Develop, launch and manage BGCD’s Alumni Network to foster lifelong connections and encourage giving and advocacy.
- Develop and execute strategies to engage alumni through communications, events, and volunteer opportunities.
- Partner with Marketing & Engagement to highlight alumni stories and amplify their impact through social and digital channels.
- Host alumni events, networking opportunities, and recognition moments that strengthen community ties.
- Maintain a comprehensive alumni database, tracking engagement, volunteerism, and giving participation.
Stewardship & Donor Relations
- Ensure timely and personalized acknowledgment for all gifts, including letters, calls, and recognition posts.
- Partner with the Marketing & Engagement team to produce donor impact reports and annual recognition materials.
- Coordinate small stewardship events, donor tours, and appreciation experiences
- Coordinate logistics for smaller and mission-based events such as Youth of the Year, holiday celebrations, and family engagement activities.
- Coordinate guest lists, invitations, ticketing, and on-site event support to ensure exceptional guest experience.
Grant Support
- Research, draft, and report on small to mid-sized foundation and corporate grants (typically under $10,000).
- Collaborate with program and finance staff to gather data, stories, and budgets for grant submissions.
- Maintain a grant calendar and ensure timely submission of applications and reports.
- Assist in tracking outcomes, success stories, and performance metrics for funder communications.
RELATIONSHIPS:
Internal: Collaborate closely with the CEO, Director of Resource Development, staff, volunteers, and Board members to support BGCD’s fundraising success and brand alignment.
External: Maintain oral and/or written contact with donors, prospects and others for the purpose of investor cultivation, successful resource development, and raising the visibility and positive reputation of the BGCD. 3
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
Minimal physical effort required to sit, stand, bend, stoop, lift and walk. Maximum unassisted lift = 50lbs. Average lift less than 25lbs. Requires the ability to use a computer, various software and database programs, keyboard, calculator, and typical office machines. Requires traveling by car to Club facilities and community sites for meetings.
SKILLS/KNOWLEDGE REQUIRED:
- Bachelor’s degree in nonprofit management, communications, business, or related field required.
- 3–5 years of experience in individual giving, alumni relations, or donor engagement (nonprofit preferred).
- Demonstrated success in cultivating and soliciting individual donors and managing donor portfolios.
- Knowledge of planned giving strategies and willingness to engage in legacy gift conversations.
- Strong writing skills with experience in donor communications and grant writing.
- Excellent interpersonal and relationship management skills across diverse constituencies.
- Proficiency in donor databases, Microsoft Office Suite, and digital giving platforms.
- Ability to manage multiple projects, deadlines, and donor touchpoints with precision and warmth.
